Regatta Details and Volunteer Information

Rowing begins FRIDAY. This regatta and Regionals are where coaches ask for rowers to utilize a parent-excused from school absence options to miss school Friday (or to leave very early). Rowers - All rowers hands-on are to rig the boats Friday at the venue. Racing begins FRIDAY at 4pm so first boats need to be on the course no later than 3:15pm FRIDAY. Each rower should be communicating now with his/her coach regarding their necessary time of arrival. DRAFT schedule is here. 

Parent volunteer opportunities are always open—come join the fun! Stay close to the team and parent tent not only because the fellowship is next level, but also so you can jump in and help when parents need to run to watch their athletes on the course. Below are specific time periods of volunteer opportunities for Dogwood Youth Championship, Oak Ridge, TN. Check out the blocks below, and yes, you can sign up for multiple times. For early racers, since they report to the trailer at least 90 minutes before their race, that’s a great time to sign up to begin your time serving at Tent City. 

This is a championship race, which means it’s progressive, beginning with time trials, then to semi and petit finals, for some, depending on how many boats are in the category. If there aren’t a lot of boats in that category, they won’t race a semi-final, and instead go straight to the final. Finally, grand finals finish the event. Some of the volunteer times may be adjusted a little, but it will all continue to revolve around the racing schedule.  The event has not finalized the entire schedule, so sign up, and if the event schedule for our team changes significantly, we’ll connect with you to adjust. 

FRIDAY afternoon 4/25/25 (as soon as you arrive)

A. EVERYONE, PARENTS OF ALL ATHLETES - Tent city setup - Rowers are required to rig, so as soon as you drop your rower off to rig, check in over at the chuckwagon to see what’s needed at that time. 

B. PARENTS OF FRIDAY RACERS - Snacks/Water/Electrolytes - Since racing begins at 4pm Friday, the team needs the parents of Friday racers at the tent between 4 and 6pm to make sure athletes have cold water, electrolytes, and regatta tent snacks available. If your child is racing, this is your chance to pitch in and help each other cover the tent so we can all take turns watching our kids race. This will also include ensuring a cooler and snacks are stocked and taken to the trailer since athletes will be there rigging. 

SATURDAY 4/26/27 

C. Breakfast - This can include cooking on the grill, making smoothies upon request, serving food, tidying up…..no worries, we’ll have everything you need. All the supplies and ingredients will be at your fingertips! 

D. Lunch - Same….may include cooking on the grill, making smoothies upon request, serving food, tidying up. If it’s sunny…direct athletes to the sunscreen bucket. :-) 

E. Afternoon Block 1 - Same, continue with post race recovery fueling, make sure there is plenty of food for racers and coaches, prepare smoothies on request, and keep the area tidy. 

F. Afternoon Block 2 - Same….and depends on progressions, keep an eye on herenow.com to see how many races remain for our kids. Continue with post race recovery fueling, smoothies on request, make sure there is plenty of food for late racers and coaches, and begin tidying up from the day to prepare the tent for tomorrow’s racing. This crew will move items to the center and lower the tent.  

SUNDAY 4/27/25 The Finals! Racing continues until 3:30pm

G. Breakfast  - This can include cooking on the grill, making smoothies upon request, serving food, tidying up…..no worries, we’ll have everything you need. All the supplies and ingredients will be at your fingertips! 

H. Lunch - Same….may include cooking on the grill, making smoothies (upon request), serving food, tidying up. If it’s sunny…direct athletes to the sunscreen bucket. :-) 

I. Lunch Afternoon - Same, continue with post race recovery fueling, smoothies on request, tidying up. We’ll remain in tune w/our progressions and refer to herenow.com to determine our needs. 

J. EVERYONE - all parents hands-on for Tent City Breakdown and loading. All the things! Kids will be derigging and loading, so parents will be breaking down and loading the chuckwagon. Wrap up remaining food for to-go, making sure there is enough cooked for rowers and coaches working hard at the trailer, wash dishes and utensils, packing up the bins, loading the chuckwagon.
